RFP Assistant is an advanced AI-powered tool developed internally by WWT that automates and streamlines the human-led process of responding to requests for proposals (RFPs). The tool's goal is to help our Proposal team respond to RFPs more efficiently and effectively.

 

RFP Assistant leverages LLMs to efficiently summarize and present information, enabling our skilled Proposal Managers to quickly qualify incoming inquiries and respond accurately. The tool extracts key requirements and deadlines from RFP documents and generates initial draft responses from a repository of previous responses, Q&A pairs and templates. The tools significantly cuts down the time needed to draft comprehensive, high-quality proposals.

RFP Ingest and Summarization:

By using GenAI to generate responses from a rich database of past proposals and other knowledge repositories, RFP Assistant can pull in more eclectic information to augment response generation. For example, it can write short case studies to highlight in a new proposal based on the team's database of past proposals.

Efficiency and time savings

RFP Assistant automates much of the labor-intensive work involved in creating an initial draft of an RFP response; 75 percent of proposal managers have reported time savings when using the tool to complete proposals. Time saved varies between 10 percent and 70 percent based on the complexity of the proposal, with some reporting that the time to complete a first draft reduced from a few days to a few hours

First draft development

The first draft response to an RFP establishes the foundation of the proposal. At this stage, Proposal Managers gather all relevant information the RFP requires. We also define the "win theme," which guides the entire proposal. This draft focuses on content structure, organization and alignment with the theme.
