Summary
World Wide Technology (WWT) successfully integrated Copilot for Microsoft 365 to significantly boost employee productivity and efficiency. By leveraging innovative AI-driven solutions within the tools employees use most, WWT achieved substantial time savings and enhanced the use of Office 365 applications across various departments.
Challenge
WWT aimed to optimize workflow efficiency and productivity among our staff by reducing time spent on repetitive tasks and enhancing the overall user experience with Office 365 applications. With Copilot's wide-ranging functionality and a limited number of licenses, it was crucial to identify the roles and departments that would benefit most. This targeted approach allowed us to provide tailored support and education, maximizing Copilot's benefits.
Solution
We approached this project just as we would with our clients. First, we developed a phased deployment plan through persona assessments and workshops, categorizing users into Heavy, Medium or Light Office 365 Users. Copilot was deployed to departments with the highest percentage of office users in weekly waves over two months. By leveraging Microsoft Graph connections to wwt.com, ServiceNow and Salesforce, employees could access content from multiple repositories, further enhancing collaboration and productivity. Our IT team executed a robust adoption strategy utilizing training videos, guides, office hours, partner training content and ongoing support services.
Outcomes
The implementation of Copilot resulted in a significant increase in productivity and time savings, with an average of 446 hours saved weekly across 941 active users. These data points, derived from Microsoft's Viva Insights Copilot dashboard, highlight the number of actions taken across various Copilot capabilities and provide an approximate time-assisted figure as well as licensed versus active Copilot users.
Our employees automated repetitive tasks, such as summarizing meetings, drafting emails and generating reports. The seamless integration with Office 365, coupled with the ability to pull in key content from graph connectors, enhanced accessibility and usability, allowing users to focus on more critical tasks. User engagement insights, gathered from the Copilot dashboard, provided valuable information on specific actions taken or not taken, which helped steer our training efforts. Feedback surveys further identified how employees used Copilot and areas for improvement.
